Hello,
I use the Mirror function for Archive the emails. This works very fine. The Archive Software gets the mails from the Mirror-Account with POP3. But in Germany there are rules for eMails which may not be archived like "application mails" etc. So I created rules on the mirror account which should delete such mails. But I find more than 50% of such mails in the Archive Software. I think the Archive software gets the emails faster then the rule is executed. I next tried to mirror in an Account "Backup@..." then I created the rules in this account and then definied forwarding to the account where the Archive Software accesses the mails. But the result is the same. I can not prevent all mails which match the rules to be deleted bevor archiving.
Any idea? (please excuse my horrible english)

Hello,
I defined a Rule for the Mirror Account "Backup@domain.de" with the criterias:

Field "From" Comparison "Equals" Value "Bewerbung@domain.de"
OR
Field "To" Comparison "Equals" Value "Bewerbung@domain.de"
OR
Field "CC" Comparison "Equals" Value "Bewerbung@domain.de"
OR
Field "From" Comparison "Equals" Value "Bewerbung@domain.de"
OR
Field "Body" Comparison "Contains" Value "Bewerbung@domain.de"
OR
Field "Body" Comparison "Contains" Value "bewerbung@domain.de"

From this Account the eMails are forwarded to "Archiv@domain.de" where then Archive Software gets them. For testing I defined the same Rule on the Archive Account without success. We use the hMailer Version 5.3.3

You have mentioned the CRITERIA, but what is the ACTION for the rule? And is this rule an ACCOUNT rule under BACKUP@domain ?

the Action is "Delete E-Mail" und the rule is under BACKUP@domain

Why? Because "From: Bewer <Bewerbung@domain.de>" will not match an EQUALS Bewerbung@domain.de criteria but CONTAINS will.

That is not true.

Only the period, you are allowed to store those mails is shorter (max. 3 month) and you should store them for several reasons. So it is better, when you delete those mails from the archive than not to store them at all. Additionally you have above this different periods (6 or 10 years) for storing mails.

They do this for a living so I presume they have it covered. Anyways, any emails containing personal information is covered by Datasecurity laws and if they are anything like the Danish... Oh boy, you'd better start saving for the fine 'cause they're going to get you eventually :mrgreen:
