Is HmailServer for the likes of me?
Hi
I'm looking to change our current email system for our small office which is:
File server [FS] running Win 10 Pro 64bit
3 PC's / laptops running Win 10 Pro 32/64bit
Software: MailCopa [MC]
Server copy runs on FS which pull downs [POP3] emails from a number of places including business addresses hosted at 1&1, personal ones including yahoo. We don't have a website
Client copy runs on the PC's/Laptops. Retrieved emails are filed into the appropriate users inbox. The use of filters [rules] allows users to have multiple 'inboxes' to help manage business from personal etc
The PC's/laptops using MC read the emails retrieved and send emails. Users can see each others folders subject to access rights
MC was so easy to setup some 8 yrs ago but it is no longer a supported product hence looking to change. I tried to setup Hexamail which I believe would do the job but despite my IT experiences over many years from the late 70's I just can't get my head around it with regards setting it up.
Looking at HmailServer I get the sense it would replace MC and even host our business email address not that I'm looking to do that, certainly not at the moment. The question is will it?

I never heard of mailcopa so I just did a quick search. It looks like a mail client that can be used in a shared environment. Hmailserver is a mail server.
Hmailserver can certainly do everything you mentioned, but you would still need a client to retrieve mail, like Thunderbird or outlook.
If I understood, you download mail from a single account at 1&1 (and other single accounts at yahoo, etc) and distribute mail to different users according to rules. Is that correct?

I've done some programming in my time, built networks including servers and cabling, installed Novel 2, 3 & 4 OS's and windows 2 thru 10 excl Vista and 8 but Hexa has lost me.
Maybe getting to old

Sorry, but you didn't answer my question and it's kind of important to the topic. Are you retrieving 1&1 emails from a single account and then distributing the messages to individuals according to rules? Or does every user have his own account at 1&1?

Oh well... They just finished writing RFC 821 when I started on my BSc.EE. There were no real "Software Engineer" degree back in those days but I do prefer reading a good manual opposed to a poorly written novel. MailCOPA do have a "server" function. MailCopa - Yes that's how I have it setup, it's been very good as whole over the year's although trying to migrate to the last version didn't work on the first attempt and reverted back to previous and before I got another chance at it they announced they wouldn't be supporting the product Spring 2020, hence looking for something else.
Sounds like you were well into IT whereas my experience has been thru necessity, self learning and if I screwed it up at least I hadn't paid an expert to do the same as has been my experience on some occassions. I've been at clients where they have an IT guy come in to fix an issue and I've just laughed inwardly as they fiddle and **** about trying this trying that hoping to hit on the answer LOL
Anyway hopefully HmailServer will be the solution and I can figure it out although at the present a lot of my time is advising and assisting clients on what the UK Government is doing to help businesses survive Covid 19.

My general litmus test is "how far can I get with this product before I have to read the manual" and for hMailServer ... Well, I have not read the entire manual yet since I joined 14 years ago Working with the script capabilities I hit some roadblocks a few years ago so I started looking at the code and made some changes, some public and others private
I feel hMailServer is quite intuitive to install and configure but if used "publicly" it will require some background knowledge on DNS, SMTP and SSL certificates.
If all you want is to do is to collect emails from different sources, make them available to staff and NOT needing a custom domain then Bob's your uncle.
Contrary to your existing setup, collecting external (1&1 and/or yahoo.co.uk) mail is configured per user. Common folders are configured for the entire system and uses the IMAP protocol.
Taking external mail to the next level you can create a generic hMailServer user to collect ALL external mail and use logic or scripting to distribute amongst local hMailServer users (clients)
Anyways, there are users on this forum using hMailServer for a staff of 2-3 people and then there are other users here hosting many hundreds of domains with tens of thousand users.
hMailServer is using industry standard protocols that enable you to use virtually ANY non-proprietary email client software on virtually ANY operating system.
Try this...
- Comission an old laptop, windows XP and up
- create a gmail/yahoo/whatever mailbox
- install hMailServer 5.6.8 (32-bit)
- create a domain "acme.inc" and a user "wile.e.coyote"
- in hMailAdmin select domain "acme.inc", accounts, "wile.e.coyote", external account and fill in the details of the gmail/yahoo mailbox
- use the default Windows XP Outlook Express and configure new account on server "localhost", user "wile.e.coyote@acme.inc" and password "???"
This is the absolute basics and that should take you probably 20 minutes

hMailAdmin -> Settings -> Advanced -> SSL/TLS remove "V" from Verify remote server SSL/TLS certificates

Well I started to say .... then realised that the new data path was invalid, missed a level out! Doh!
I now have folders in the data directory. Need to get Thunderbird installed and setup

Most people are going bonkers since all external socializing is closed down.
We worry for the people/family we know in the UK. Also wifeys niece is a pediatric nurse (and helicopter pilot) with a new house with her spouse (a CH-47 Chinook pilot) in Abingdon. She's got a job either way, but at what cost.

We work from home so that bit is easy but we do visit clients but not at the moment.
Difficult times for all especial medics. A pity some idiots don't realise and are still socialising! Just read thread re party in Derby with 25 adults and kids. Unbelievable!!!!

Well I've installed Thunderbird and tried to set it up, maybe with some success not sure. I got a warning on my laptop re connections and found this in the server log

multiple login failures will ban your ip address, check your autoban settings.
A banned address will list in ipranges with a priority of 20 and an expiry date.
version 5.6.8 will ignore ban if priority > 20
version 5.7 iirc is 100... (somebody confirm?)

Just to confirm I'm using 5.6.7-B2425
Ok, found Autoban which was and still enabled with 60min lapse time so I had another go loading T/bird, got p/word prompt again, still not sure one but I tried one and it failed so I stopped.
Despite any appearance to the contrary I have looked in the documentation and the forum but either I can't see for looking or I'm looking for the wrong thing but I do appreciate the response and speed of them too.
Is there any expamples of how to se the client up to access hMailServer?

Ok, found Autoban which was and still enabled with 60min lapse time so I had another go loading T/bird, got p/word prompt again, still not sure one but I tried one and it failed so I stopped.
Despite any appearance to the contrary I have looked in the documentation and the forum but either I can't see for looking or I'm looking for the wrong thing but I do appreciate the response and speed of them too.
Is there any expamples of how to se the client up to access hMailServer?

Thunderbird is prompting you for the account password of the mailbox you created in hMailServer. I presume that is the details you entered into Thunderbird.

Well I changed the password in hMailServer Admin [screenshot attached] then went back to T/bird and pasted the same p/word and it failed. So if this is the p/word it's asking for then something else is wrong but I can't spot it
Frustrating as I seem to be so close to getting it wroking or rather you getting it working

I don't use Thunderbird so I'm just as lost with it as you are...
However.... We can test directly on the server by using TELNET...
If by any chance TELNET is not available on Windows 10...
The red lines are hMailServer responding - and yes, you have to type the letter "A"

If "TELNET 192.168.1.121 143" result in "DNS Server not authorative for zone" then you have bigger problems

Made user name changes still no joy
Looks like I have more than I bargained for with the Telnet issue. Tried sfc /scannow and this failed to run too "Windows Resource Protection could not start the repair service"
Hopefully I can sort it without too much disruption work wise then see if it's fixed the T/bird issue

I wonder if AVG on the server is the problem?
Anyways, you need to exempt the hMailServer directory tree from real-time scan or you can potentially loose emails. Emails are stored in "\hMailServer\Data\<domain>\<account>\<id>\" as *.eml files. hMailServer support anti-virus scanning by running e.g. AVG with commandline parameters - or any other antivirus program.
I use AVAST Free edition (AVAST own AVG) on all clients and phones but NOT on the server. I do manual scans of the server and ClamAV is run by SpamAssassin on every incoming email. Server is a dedicated mailserver.

Finally got some time to look into this. Still can't find a solution that will enable sfc /scannow to run nor TelNet but .............
Following your suggestion re AntiVirus I turned AVG off on both laptop and server and T/bird loaded up on my laptop, no p/word requested [see below]
Gradually brought AVG back to full running on my laptop and still T/bird loading
Server - As soon as AVG is back online T/bird prompts for password so to my mind it can't get thru to the server.
Server, AVG - I've add HmailServer pgm and Data folders to the exceptions and add HS to the allowed Apps but T/bird is still asking for the P/word. Is it a Port setting that needs changing?

AVG is taking control of your protocols (if it works the same way as it's big sister AVAST) so you need to switch off the email shield in AVG (MAILSERVER ONLY!). In AVAST there are options to switch off POP3/IMAP scanning and SMTP scanning.SlapheadDiver wrote: ↑2020-04-06 16:25Hi

I have no idea how AVG compares to AVAST but with AVAST you go to "menu" - "settings" - "protection" - "core shields" - TAB: "Mail shield" and here you unselect "scan Inbound..." and "scan Outbound..." - or unselect "Enable Mail Shield" and choose "Stop indefinitely" when prompted.
Same location is a setting to add a signature to outbound messages...

I've tried a number of setting changes on the server and client re AVG and it still not working. I think as you have suggested the issue is AVG, whether there is a solution or not remains to be seen. I'm going to contact AVG and see if they can help me. Either way I will report back to this thread if only to help possible others in the future

Server - Firewall challenge
Hi Soreen
I put a thread onto the AVG community which so far has resulted in AVG support contacting me and rnning an online session, well 2 actual as the initally hooked up to my laptop, not sure why really then to our server. They spent couple of hours in total trying this and that and concluded it's the Firewall but cldn't work out a solution so they've escalated it. That was Weds, no further contact as yet bearing in mind in the UK the bank hol started Fri thru to Mon.
Do you know if I changed the Server from AVG to Avast will that solve it for sure?

Try it, the free edition is fine, we use it on 6 computers and 3 phones. My servers are headless Windows Server/Linux so no human interaction and only scheduled scanning.

The AVG Firewall in its current version has a problem, executing custom filtering rules correctly.
Anyway, you can disable the AVG Enhanced Firewall feature so you automatically fallback to the normal Windows 10 Defender built-in Firewall which allows the same
filtering options than AVG Firewall (both are relying on the Windows 10 Baseline Filtering Engine, which is in fact not a Standalone Firewall rather than a Filter for BFE).
However:
Disable the AVG Firewall and let the rest of your AVG Features stay enabled and use the Windows Defender Firewall for packet filtering.
You can follow this hMailServer specific guide to enable the required ports:

Sometimes firewalls are a pain. I remember when I first got my Cisco ASA 5505 it had SMTP snooping enabled and it would sometimes cause havoc on my emails so I killed it. Original Cisco Java GUI sucked so I ended up doing a 300 line config file and TFTPBooted it in the ASA.

Ah that clarifies that point re firewall, so I will need to look at my router regarding firewall capabilities. I'm using a pair of Netgear Orbi's, one in the office connected to the b/band 'modem' [fibre] and a nework switch which distributes to several points in our home/office. The 2nd Orbi upstairs to cascade WiFi for our mobile devices but also with a cable connection to the network.
An excercise that started off looking reasonable straight forward just seems to be getting a bit deep at every turn

Well... "going thru your stuff" is never a bad idea. I do that once a year. ADSL is gone, 4G Huawei b525 is in. Fiber company will shoot in fiber sometime this year. Cisco ASA has been kicked to corner since all my new IoT "stuff", IPTV and whatnots will require an IP license to access cloud, it has the entrylevel iOS with 10 licenses and I need at least 30.
On the matter of hMail I think we can conclude that AVG is the culprit and it needs "relaxed" settings

Blimey, well you've lost me with all that kit. Mine might be a lot simpler but so is the user Having needed to keep up to date with IT when I worked in manufacturing running finance depts, our simpler needs working from home has resulted in me losing touch over the last 15+ years.
We have fibre to the exchange, about a 1.5 miles away then copper to the village and homes. Getting 50ish download 14ish upload which is plenty quick enough. Personally we don't stream much, tend to record programmes when they are transmitted and watch later.
I've been looking at the Orbi firewall etc this morning so hopefully no more questions on the matter only to report it's working. Fingers crossed but not holding my breathe

Regarding firewall, you don't have special needs if your hMailServer is running within your Local Area Network in your Office and fetching and delivery
Emails against or from a SMTP-Relay server / Smart host.
Firewall on hMailServer makes sense if you have a Dedicated or VPS-Server at some Webhosting Company and if you have remote admin permission on such
a System.
hMailServers depending on a SMTP-Relay server are not shown to the outside, public internet as long as no port is forwarded or you have a static ip address
on your hMailServer Computer.
Emails against or from a SMTP-Relay server / Smart host.
Firewall on hMailServer makes sense if you have a Dedicated or VPS-Server at some Webhosting Company and if you have remote admin permission on such
a System.

Is the AVG Firewall side by side running?
If you turn the Windows Firewall off via the AVG GUI, it will enable the AVG-Firewall instead.

Just trying out a few things... I assume you have not changed anything since your post 30 Mar 2020, 20:36 with the HMSSettingsDiagnostics.
Can you change priority to 50 for IP Range 192.168.1.100 - 192.168.1.200?
AutoBan is enabled and using this priority prevents local LAN clients from being banned.
IP Ranges... Remove anything with Priority = 20
I presume you are using the account "mark@mark-personal" ...
Admin -> Domain: mark-personal -> Accounts: mark -> Enter password (just in case ), click "save" button.
Same place... What does "Size (MB)" show?
In your "..\hMailServer\Logs" directory do you have files like "ERROR_hmailserver_2020-03-30.log" ?
What does the most recent file contain (Use the [</>] button to set code tags around the text.)

T/bird is loading on my laptop, no prompt for p/word so I'd take that as a +ve i.e. it's working but no emails displayed as previously reported, I get the impression it's trying but failing
Changed IP priority to 50 but I'd already disabled Autoban to reduce the frustration of getting 'locked' out but from what you are saying I cld now re enable it
Size (Mb) = 1.717
Max (Mb) = 0 which I'm sure was the default and I'd guess means Unlimited
I've rerun HMS Diag just in case it helps. Backup has been set as we run Macrium every night, full on a Saturday and incremental each night inbetween.

hMailAdmin -> Domains: "mark-personal" -> Accounts: "mark@mark-personal" -> Advanced [Edit folders] should list the IMAP folders available for that account.
I have no idea what is going on with T/bird... I use https://www.emclient.com/page.aspx?contentid=homepage There are some limitations with the free version, one is the number of accounts defined. Where T/bird obviously have roots in the 'nix world, eM Client have roots in the Windows world
Can you paste the contents of "C:\Program Files (x86)\hMailServer\Logs\ERROR_hmailserver_2020-04-15.log" ?

Error log - The only one in the Log folder is dated 29/3
EmClient - I'll have a look at this as if nothing else it's not that costly and certainly not compared to the time spent so far trying to get T/bird running
